Voice Automation

Picks up the phone in the middle of service.

AI Assistants

The evening this is about

The phone is the worst-timed interruption in hospitality. It rings hardest exactly when the room is fullest, and it is answered by whoever is nearest, which during service means someone who was doing something else and now is not.

  • Friday at eight, the phone rings four times and is answered once.
  • A caller reaches a member of staff who does not know whether the terrace is free and guesses.
  • The number rings out and the caller does not try again — they try somebody else.
  • Half the calls are the same two questions about hours and parking.

What it actually does

  • Picks up when nobody can, and says out loud that it is an assistant rather than pretending otherwise.
  • Answers the routine questions — hours, location, parking, whether you are open on a holiday.
  • Takes a table booking by voice and reads it back before confirming.
  • Writes down the number and the request for anything it cannot handle, so somebody calls back with the facts in front of them.

The detail that matters

It picks up on the calls you would otherwise lose, not on the ones you want. You decide when it answers: only after four rings, only during service, only outside opening hours — or never, and it just takes messages. A caller who wanted a person still gets a person; they just get one who is not holding a tray.

What it does not do

  • It does not cold-call anyone. It answers; it does not ring out.
  • It does not handle a complaint. Anything with an upset voice on the other end goes to a human, immediately.

We would rather you read this before the call than find out after.

Where it sits

The assistant on your site, your phone and WhatsApp. Voice Automation is one of three tools in AI Assistants, and it runs on the same guest, booking and menu data as the rest of the Suite — so nothing is typed in twice.

Fifteen minutes, no slides.

Tell us how your venue runs and we will say plainly whether Voice Automation helps — and which two or three tools to start with.
